Q: Will we be given a recorded link and PPT file to the webinar?
A: Yes & No. Yes, we will be providing all attendees and those that registered but could not attend a link to the recording of this presentation. No, we will not be providing a separate PPT file.

Q: Are all three of these 3 products (TechConnect Zoom, TechConnect Cloud(3CMedia) and OTC available to SDCCD faculty for free?
A: Yes & No. Yes, the TechConnect Zoom and TechConnect Cloud services are available for free. No, the OTC has registration fees associated with the Online Teaching Conference although the conference was presented virtually this year due to Covid-19 and registration fees were waived.

Q: My classes are recorded-do I need to do something to get that recorded meetings to cloud for my students?
A: If you are recording outside of Canvas to the cloud, you’ll have to log into your account at https://cccconfer.zoom.us/signin with your .edu email address and click on ‘recordings’ on the left navigation menu. You can then grab a share link to provide your students with access to a specific recording.
If you are recording inside of Canvas to the cloud your recordings will appear in the Events Recorded tab for your students to view.
To automatically record to the cloud enable cloud recordings in your Recording settings and disable local Recordings.

Q: Where can I ask questions about meeting password been asked to students even though they are logging in through Canvas ConferZoom and I can't see upcoming zoom meeting so I can disable the password a week before the class time. Thank you

Q: How long can the instant meeting last?
A: With your TechConnect Zoom account, the meeting will last as long as you are active in the meeting.

Q: Do you recommend MP3 to save space versus MP4?
A: MP3 is an audio only file, MP4 is video file. If you need to have your audience view something you will want to choose video (MP4) If you only need them to listen to your lecture with now need to view anything then audio (MP3)

Q: What about if you have a meeting that will be repeating on several days? Can there be an option of getting a static link rather than a Unique link?
A: If you schedule outside of Canvas the same link applies to all recurring dates. If you schedule inside Canvas each date in the series has a different link.

Q: What is meant by "tracking"? Is tracking automatic, or do you need to set it? And how do you access the tracking information?
A: When you use the feature “Schedule a Meeting” your meeting will be tracked in your “Previous” meetings.

A: Briefly. We will be emailing a link to view the recording after it processes. You’ll be able to share the link with your faculty.

Q: Do we have access to use the webinar feature with our ConferZoom account?
A: No, the Webinar option is not enabled in your account. It is a special option that has to be requested and approved.

Q: If someone uses my PMI and I'm simultaneously conducting a scheduled (recurring) meeting, will that person automatically be connected to the scheduled meeting, or is that scheduled meeting different from the meeting the PMI would open up?
A: They will end up sitting in your empty PMI room

Q: How do I invite a guest such as a student who wants to join the first day of class and hasnt had a chance to get their student ID or registered for the class but wants to sit in one time before registering?

Q: When you join a meeting; I've noticed that my tools are not the same as if I was hosting the meeting. Is that intentional? Would I have to log into my account and then join the meeting to have my tools show?
A: Your tools as a host are more robust than when you are a guest in someone's elses meeting. Host have more control functions.

Q: Can you make the screen sharing larger. It's really small.
A: On the bar where it shows who’s screen you are viewing, click on the dropdown to the right of ‘View Options’ and select Fit to Window.

A: When you schedule inside Canvas your students join the meeting/event directly through Canvas and need no link to Join.

A: No, this account is provided for business of the CCC System only.

A: Yes and no. Yes, if you enable “On-demand” when you share the cloud recording viewers will have to request permission to view the recording.

Q: Is there a setting to allow someone else to edit the transcript of a recording?
A: No, not inside of Zoom.

Q: In Settings, what color means enabled and what color means disabled?
A: Enabled in blue, disabled is grey.

Q: If I post a Zoom recording to YouTube, will it remain only a semester (or as long as my school determines), or will it be there indefinitely?
A: We don't know all the rules of YouTube but I believe items on YouTube are permanent unless removed by you or YouTube.

Q: Can the recordings last longer than 1 semester?
A: your recordings may be available longer than one semester. To ensure the availability for a longer period, you can also move your Tech Connect Zoom cloud recording to your TechConnect Cloud (3C Media) account. It is a place to store your videos for long term storage.

Q: If all I want to do is record my audio over a PowerPoint presentation, then post it as a link in CANVAS, is that a "meeting" and I use "recordings"?
A: yes, I do this all the time, it is a very easy way to record an on-screen presentation and I recommend doing this.

Q: Can I view a report as co-host?
A: Only the host sees the report. They would then need to share it with you.

Q: Can we trim class meetings in the middle, or only at beginning and end of recording?
A: Only at the beginning or end using Zoom. You would have to use third-party software to edit the middle.

Q: Are the attendees names alphabetically sorted automatically?
A: Yes, by first name

Q: Why are some attendees duplicated on the usage report? (I find duplications on the exported spreadsheet)?
A: You will see duplications when someone is “kicked out” of the meeting due to internet issues etc.

Q: Heather, when you replied that “recordings only remain for 1 semester unless your school has decided differently”. Is this referring to recording through the Canvas Zoom app or is this through our ConferZoom account (which I thought were stored for a year!). Thanks for clarification.
A: Some schools manage the amount of cloud recording, if you are in our general account we allow 1 semester. They used to be a year in ConferZoom but we are serving the entire system now so it is a lot of storage, we can no longer offer 1 year storage.

Q: Why can't I delete meetings that I have scheduled? It only asks me if I want to start or edit, but NOT delete. Why?
A: If you schedule in Canvas, the eraser icon will delete the meeting. In your browser ConferZoom the delete option was moved to the bottom of the meeting when you select edit. It is now back at the top towards the right.

Q: My brain can't seem to understand difference between desktop app and website portal. Is the website portal same as if someone trying to join from cell phone and desktop is from a computer?
A: Desktop app is a shortcut to your Zoom account on the website portal - the website has more setting options.

Q: Can you edit the Meeting invitation before you send it out to everyone? I just want the URL and the Meeting ID with Password be sent to my participants. I do not want all the information for Telephone and international numbers.
A: The invite can be stripped of the info you don’t want to share

Q: Can emails be required of participants, so that it appears on the participant report? How many host are allowed per meeting?
A: No, only those that are logged into a Zoom account when joining your meeting will show an email address.

Q: Do recorded meetings scheduled from Canvas get automatic transcripts?
A: No, you have to have Audio Transcript enabled in your cloud recording settings.

Q: If the event recording is enabled, then does the recording load up in Canvas automatically.
A: Yes, as long as you record to the cloud.

Q: When is the event attendance updated? My information reflects the previous day’s class rather than the latest class.
A: Due to the high volume of usage Zoom postings of attendance can be a bit delayed. Please let us know if this takes more than 48 hours.

Q: I don’t see “TechConnect” in my Canvas bar or “ConferZoom” or ConferNow)…. all I see is “Zoom”. How do I upload the link?
A: Once you are in your course, click on Settings in the course navigation area and then click on Navigation tab. Locate the selection you are looking for drag from hidden area at the bottom to the course navigation area and click Save button at the bottom. If you do not see the choice ask your Canva administrator to enable it.

Q: '@Donna Gustafson. Can I strip off the info I don’t want to share on the meeting invite beforehand? If so, how or where do i go to do this?
A: Not beforehand, the information is automatically populated by Zoom. You can, however, edit the information before you send it out.

Q: For checking attendance, is a student required to enter their name if they don’t log into Zoom? I need a reliable way to check attendance.
A: For classroom management, you can communicate this requirement to students

Q: What are the advantages of using the destop “client” versus the web version of Zoom access via browser?
A: The Zoom client for meetings, aka “desktop app” is a shortcut to the ConferZoom website portal. It’s a personal preference.

A: It is like locking a door to a classroom. Nobody else can come in after it is locked.

A: yes, this can be selected in your settings

Q: Clarifying question: I have faculty ask what is the difference (or advantage) of using the ConferZoom versus Zoom as stand-alone for live sessions, recorded lectures, office hours, student meetings etc. Input appreciated.
A: The biggest advantage of using TechConnect Zoom is that because you are an employee of the CCC system the license account is free to you to use. You have unlimited meeting minutes and your meetings can accommodate up to 300 participants. If you have a free basic Zoom account you are limited in meeting minutes, participants and other features. If you get a licensed account directly through Zoom you will pay a fee for the service.

Q: When you customize a waiting room, can you make the customized message different for each of your classes? Or can you only have one customized waiting room message for all of your classes? This would be with recurring meetings that have already been scheduled
A: Only one customized waiting room message. You would have to go in before each different class and change the message which could be an issue if you forget etc. Even just seeing your name let’s them know they are in the correct waiting room.
