The Scheduler allows instructors to schedule web conferencing events using TechConnect Zoom (ConferZoom) through your learning management system's course page. Scheduled events will appear on the Event Calendar.
When scheduling, choose to schedule a single event, or choose "Daily" or "Weekly" for repeat events.
The TechConnect Zoom (ConferZoom) integration in Canvas creates a place-marker for a meeting; the event will not be created in Zoom until the meeting is launched or click on the Topic Tile, then 'More Details'. The meeting will appear in your TechConnect Zoom (ConferZoom) website account after the meeting is launched, and if at least two people connect to the meeting; if you create a lecture without student attendance, and it is important to see this session in your TechConnect Zoom (ConferZoom) account, log in as a participant on another device. This rule applies for scheduled class sessions and Appointment Bookings.
Before Scheduling Events in Canvas - Check Your Account Settings
Due to a password policy implemented by Zoom months ago, passwords are required when connecting to a ConferZoom meeting created in Canvas. The ConferZoom app in Canvas automatically manages passwords, enabling seamless connection without a password prompt for students when using the 'Join' button to join the meeting. If your students are clicking the 'Join' button, and are prompted for a password:
1. Sign into your ConferZoom account at www.conferzoom.org
2. Navigate to 'Settings' > 'Meeting'
3. Disable 'Use Personal Meeting ID (PMI) when scheduling a meeting' setting in your account'.
- When the PMI set up as a default when scheduling meetings, the PMI doesn't change, but the password does, which prompts the student to enter a password when connecting from Canvas.
4. Delete previously scheduled meetings in Canvas ConferZoom and reschedule them.
On the Events Calendar page, click the Schedule button:
The 'Schedule new event' page appears; the course name appears in the 'Name' field by default, edit the field to reflect the topic of this session.
Repeat Schedules is the way to create a recurring series of meetings either on a daily or weekly basis.
'Daily' highlights all days in the week by default, click off the days you do not want in the series.
'Weekly' starts with today by default, click to select the days you want to scheduled in the weekly series.
The next two upcoming events will be on the left in 'Upcoming Events'. Remaining events appear in the middle of the screen, and can be viewed by using the arrows to advance or go back on the calendar.
Edit Scheduled Sessions
Any session can be edited to change the name, date, start time, duration, and the hosting instructor (when there is more than one in the course).
1. Choose your session, click the + icon to expand the information:
- 'Pencil-in-hand' icon is to edit the meeting details
- 'People+' icon generates a link to invite others to the session.
- 'Eraser' icon is to delete the meeting.
Edit: On the left of the page, make the needed changes in the 'Edit event' section, then 'Save'.
Note: Additional dates cannot be added to an existing series; a new meeting can be scheduled for the added dates.
Invite: Learn how to invite guests and students outside of your course to join the event.
Eraser: Delete the session from the calendar of events.
The calendar view in TechConnect Zoom (ConferZoom) applies only to scheduled TechConnect Zoom (ConferZoom) events, it is not the same as the Canvas shell calendar. Choose to view scheduled events by 'Day', 'Week', or 'Agenda'. 'Day' and 'Week' views list events hour by hour for that day or week. The 'Agenda' view is a summarized list for and can be advanced to view other weeks in the calendar.
