Q&A
Q: Why doesn’t my Canvas show the appointment page as shown in this demo? I don’t see anything similar.
A: Your college may not have integrated the platform yet. Please contact the Canvas Administrator at your college, or contact us directly for further information (support@ccctechconnect.org).
Q: Can Student Connect be used for a student service center where all appointments are in-person (not virtual)?
A: Yes, you can use it for a student service center virtually or in person.
Q: For tutoring, we need to be able to restrict students from making appointments to classes that we tutor. Every tutor has different courses they tutor. This was not available last year. Has this changed?
A: Yes, this is now available. There is the option to selectively restrict the availability of the tutor or the teacher a student can select. If the student is part of the class and given permission to schedule their own appointments, they will be able to schedule a meeting for the selected teacher or tutor from a drop-down menu. If the tutor doesn't post any availability, the student will not be able to schedule an appointment with the tutor.
Q: Is there a way to schedule across all current courses for a semester, rather than having a different schedule for each Canvas course?
A: Yes, with Student Connect, you have the option where teachers can schedule appointments across all their courses for the entire semester. All the appointments will be available in their Canvas Instance.
Q: Does Student Connect allow multiple students to be booked for a single appointment? For example, a workshop or orientation session that is capped at 20 students per session.
A: No, Student Connect is for one-on-one appointments. If you want to meet with more than one student at a time it would be best to schedule a meeting and send the invitation to the 20 participants, you want to attend.
Q: Two Questions. (1) Is there any integration with MS Outlook? (2) Is it possible to send notifications through text (SMS)?
A 1) It is possible to send notifications using your email calendars. This must be enabled by the account owner in their email settings. There is an option where you can enable email notification so you can have it populate to your account in your Outlook calendar. For your second question about SMS, at the moment notification through text is under development. They are working on that right now. There is no ETA for deployment.
Q: Who has access to teacher/counselor notes?
A: The notes are restricted to the teacher who created them. Only the teacher who entered those notes will have access to those notes.
Q: Are reports available, such as how many meetings were scheduled, or times scheduled?
A: Reports are presently not available. This is in development as a requested item.
Q: Is the data from student usage available via the campus API.
A: I am not familiar with the campus API. They are unique to each college campus.
Q: Are student services required to have Canvas shells to take advantage of this appointment scheduling feature? A: No, they can have single sign-on (SSO) to access appointment scheduling outside of Canvas.
Q: Can you add breaks into the schedule, or do you have to schedule your own appointments to have breaks?
A: Yes, through the scheduling process there's an option where you can set up your appointments with set time periods between each meeting. You can choose how many breaks you want and how long each break will be.
Q: For Health Services, could one person like a front desk admin be in charge of booking appointments for other providers?
A: Yes, this person could be given scheduling permission and they would be able to book appointments for other staff members.
Q: Just to clarify, Student Connect is not yet available to faculty? It will be available in the fall?
A: Yes, it will be available this fall. At the moment it is in a beta testing environment. We have one client that is working with us to test the product.
Q: What are the aspects of Cranium that were integrated into this product for counselors?
A: Mainly we focused on clients' requests. Clients requested email calendar integration, being able to schedule across all classes, notes, scheduling meetings on behalf of students, etc.
Q: Do any of the features change when using in Canvas vs stand-alone?
A: No, the stand-alone and the non-stand-alone application are the same. The two features are the same, it is just how they access the application that is different, either through their Canvas instance or using single sign-on (SSO).
Q: Are the appointments set up by tutor versus subject?
A: It is by a person with faculty privileges or faculty role.
Q: Is student/faculty activity trackable in Canvas?
A: The application is restricted to Student Connect. It is not able to track student and faculty activity in Canvas. Any report that would be available would only be in Student Connect.
Q: If this is available to students outside of Canvas, how do students access it? Is it available to prospective students?
A: Yes, it is available to prospective students. Students can be given the option to schedule their own appointments, or the counselor can schedule appointments for students. For brand new students who do not have access to Canvas, the counseling department can schedule the appointment on their behalf.
Q: Are there any opportunities to track reason codes for counselors?
A: We are seeking further information from the developer - stay tuned!
