Recordings created prior to August 15, 2020 and stored in Zoom will be deleted from the Zoom cloud storage server beginning June 30, 2021. Please download any recordings that are important to preserve prior to June 30, 2021.
If you wish to store your recordings in 3C Media for easy sharing and integration with Canvas through the 3C Media Solutions integration tool, you may continue to do so.
If you need to store Zoom recordings and/or other files without Canvas integration, please use an alternative storage such as OneDrive, which is available to colleges that have purchased licenses for Office 365.
Manage your Zoom Recordings to Preserve Cloud Storage Space and Prepare for Future Changes
We need your help to reduce your stored recordings to ensure that TechConnect Zoom cloud storage continues to be available for everyone across the California Community College system.
Zoom cloud recording is not intended for permanent storage so personal management of your recordings is required. Proactive recording management practices that align with a temporary storage approach for all your Zoom recordings should be prioritized as we work to develop our TechConnect Zoom recording retention policy which will include specific storage limits.
Please take these three simple steps to proactively manage your Zoom cloud recordings, now.
- DECIDE Review all recordings in your TechConnect Zoom account and determine which need to be used again or saved, and which can be discarded. Additionally, in advance of any zoom meeting, consider if the content is truly needed for the future. If not, choose not to record the meeting in the cloud, or set it to record locally and decide later.
- DOWNLOAD Manage the recordings you decided to use again or save by downloading them locally on your desktop; then move them to a different storage repository for later access. Use resources provided by your institution to handle your recording files as necessary and appropriate.

- DELETE Be sure to delete all the recordings that you no longer need from your Zoom account, along with all those that you downloaded to your desktop. Make sure you are only retaining the files in a single location appropriate for your future use.

Remember, when managing your cloud recordings:
Meeting recordings that contain sensitive or personally identifiable information should be handled in accordance with your institution’s policies and as required by law.
What will happen to links of my recordings in my academic courses?
Any links to recordings that you delete from the cloud which were previously used within your course content will no longer work once the recordings are deleted or moved. You will need to replace content links with new reference links if you still need to continue to share that content. Any recordings which remain in your Zoom account cloud storage will continue to work with the original links to the original stored cloud location.
